Q1: I have just installed ISYS:desktop and when I start ISYS Query I get messages telling me I have not registered. What do I need to do?

A: You can register your ISYS products online, or complete the registration card that you received with the software and return it to your nearest ISYS Search Software office.

ISYS Search Software will then process your registration information and supply you with a registration code. You need to do the following to register the product:

1. Run ISYS Utilities

2. Click "Help" on the menu, then choose "Register ISYS"

3. Enter your License Number and registration code into the relevant areas

4. Click OK.

Q2: I have just upgraded to Version 6 but I didn't get a permit disk. Is there a problem?

A: No.

Your permits are generated automatically based on the authorization code you entered when you installed ISYS 6.

Q3: How do I confirm how many ISYS network permits I have?

A: You can confirm this by running ISYS Utilities, then click "Tools" from the menu and choose "Permit Status". ISYS will display how many permits you have and how many are in use.

Q4: How do I remove or modify an entry on my Index Catalog?

A: To remove an entry from the ISYS Index Catalog, do the following:

1. Run ISYS Query or Utilities.

2. Click "File" on the menu, and then "Select Index"

3. If you are not already viewing the ISYS Index Catalog, click the "Catalog" tab.

4. Highlight the Index you want to remove from the Catalog and press the "Delete" key on your keyboard. Alternately, you can right-click on the entry and select "Delete this entry".

If you want to modify an existing entry, right-click on it and select "Edit this entry". You can then change the name of the entry.

If you want to add an index to the Catalog, do the following:

1. Click the "Disk Directory" tab.

2. Navigate to the location of the ISYS index that you want to add.

3. Click the "Add to Catalog" button.

4. You then have the option to modify the name to be displayed in the Catalog or leave it as is. Also, if you are running the LAN version of ISYS you will have the option to add to "My Catalog" or the "All users catalog". Make the appropriate choice, then click the "OK" button and the entry will be added.

Note: When adding or modifying an 'All Users Catalog' entry, all users on the network must have the same drive and directory mappings configured.

Q5: When I perform a search in ISYS Query I get a message saying that the document has been changed. What can I do to stop this message from appearing?

A: The message indicates that the document has changed since the index was last updated. To view the changes to the document you will be required to perform an Update to the index.

1. Run ISYS Utilities, making sure you have the correct index selected

2. Click "Actions" on the menu

3. Select "Update Index"

4. Click on the 'OK' button

Q6: How do I install the special ISYS macro and button into Word for Windows?

A: This option is offered to the user the first time a Word for Windows Document is brought into the ISYS Browser.

Note: macros must be activated in Microsoft Word for this function to work.

Open Microsoft Word.
Select File --> Open.

To install the ISYS macro,

1. Browse to the directory where ISYS is installed and find the macro file for your version of Microsoft Word:

  • ISYSWRD7.DOT for Word 95
  • ISYSWRD8.DOT for Word 97
  • ISYSWRD9.DOT for Word 2000 / XP

2. Click "OK" to select the file. You may see a message about macros, similar to the following:

You must enable macros for this function to work: in this case, you will need to check "Always trust macros from this source."

The macro will be installed and a floating will appear in Word. You can dock this with the main Word toolbar by dragging and dropping it.

Close the .DOT file - there is no need to save changes.

Note that the "Q" button activated query will not function until the ISYSWRD*.DOT file is closed.

Q7: Does ISYS 6 Support Office XP?

A: Yes, ISYS 6 does support Office XP applications, such as Word, Excel, PowerPoint, Access and Office Binders

Q8: I have started ISYS Query. How do I select an index to search?

A: Note that ISYS defaults to the last index that was used (whether it was in ISYS Utilities or ISYS Query). Click on the "Select Index" icon on the tool bar.

You then have three ways to select an index:

1. Click on the Catalog tab and select an index from there; or

2. Click on the Disk Directory tab and select an index by navigating to and highlighting a directory that contains an index. If the currently selected directory contains an index the OK button will be active and you can click it; or

3. Click on the "Recent" tab and select an index from the list.

Q9: How do I view a document after a query?

A: To display a document using the ISYS Browser, double-click on the document title or filename in the ISYS Query results window or press ENTER while the document is highlighted.

Q10: Can I change an index name?

A: Yes you can change index names.

1. Run ISYS Utilities, making sure you have the particular index selected

2. Click "Tools" on the menu bar

3. Select "Index Options" and then the "General" tab

4. Type the name for the index in the Index Name field.

Note: The index name can be up to 40 characters long, including spaces and special characters.

Q11: What do I need to do to install ISYS on a network?

A: You will need to run NetSetup.exe, which you can find in the "NetSetup" directory under ISYS.

1. Go to the physical workstation that will be using ISYS Query

2. Quit all running applications

3. From the Windows Start menu, select "Run"

4. Use the "Browse" button to locate the Netsetup.exe file, which was installed on the server, and press "OK"

5. The ISYS Network Setup window will appear:

There are three install options:

a) Typical. Installs ISYS Query and provides an option to automatically start the ISYS Start Center.

b) Complete. Installs ISYS Utilities, ISYS Query, and provides options to automatically start the ISYS Start Center and Knowledge Warehouse. This option is recommended for ISYS administrators.

c) Custom. Select the programs you wish to install.

6. Select your install option and click "Next."

7. Set the options for automatically starting the ISYS Start Center and Knowledge Warehouse (if applicable) and click Next. The ISYS Start Center does not affect concurrent usage levels of ISYS:desktop where the ISYS Knowledge Warehouse does.

The installer runs and creates the Start Menu shortcuts in a folder called ISYS
Knowledge Management.

8. When installation is complete, the installer displays the message: "ISYS:desktop has been successfully installed". Click Finish.

If you chose to install the ISYS Start Center option, the Start Center icon appears immediately in the Windows System Tray. If you chose to install Knowledge Warehouse, it starts the next time you start Windows.

You can now access any network ISYS indexes from the workstation.

Q12: When I run a query, a word that I know is in a document is not found by ISYS.

A: When you perform your query in ISYS you will notice on the right hand column in the Result List that the word you are searching for appears. If the word is displayed and the word next to it specifies 'Common', then you know the word is in the Common Word List. If the word is in the Common Word List then you will be required to delete it from the list to enable a search on that particular word. To do this see question 13.

Q13: How can I delete a word from the Common Word List?


1. Run ISYS Utilities

2. Click on "Tools" on the menu

3. Select the "Common Word List" and then click on the word that you want to remove. Once it is highlighted click on the "Delete" button. Select the "Save" button once you have made the necessary changes. The changes will take affect the next time you run a Reindex.

Q14: What files do I have to backup before reinstalling or upgrading ISYS:desktop?

A: For each index created you will have to backup the following files in the index directory:

  • Isys.ixa (Index file)
  • Isys.ixb (Index file)
  • Isys.ixc (Index file)
  • Isys.cfg (Isys configuration file)

If the following files exist these should also be backed up:

  • Isys.ixd (Index file)
  • Isys.sql (SQL configuration file)
  • Isys.mal (E-mail configuration file)

In the ISYS program directory you should also back up the following files:

  • Isys.reg (Your current registration details)
  • Isys.db (Catalog file)
  • Isys.cwd (Common word list file)
  • Isys.syn (Synonym rings file)
  • Isys.sct (Concept tree file)

Q15: What versions of Windows is ISYS:desktop 6 compatible with?

A: ISYS:desktop version 6 is compatible with Windows 95, 98, ME, NT 4 (SP 4 and above), 2000, and XP.

Q16: When I do a search in ISYS Query, I get a message saying "Enter search term or press Escape". What does the message mean?

A: This means that the index has become corrupt. You will have to delete the index files and reindex the index.

The index files that need deleting are:

  • isys.ixa
  • isys.ixb
  • isys.ixc

To Reindex: Go into ISYS Utilities, select the correct index then click on "Actions" - "Reindex"

Q17: How can I search for C++?

A: Remove the letter C from your common word list, by choosing 'Common Word List' from the 'Tools' menu in ISYS Utilities. Select the entry for 'C' and remove it by clicking on the 'delete' button. Select the 'Save' button once you have made the necessary changes.

Add the + sign to the Significant Characters list. Select 'Tools' - 'Index Options' - 'Advanced' tab. Add a single + sign after the numerals already displayed in the 'Significant Characters' list

You will need to perform a Reindex for these changes to take affect. Select 'Actions' from the menu and click on 'Reindex' to commence to reindex process.

Note: When you search for C++ you will be required to enter C+++ (3 + signs is important as ISYS will use one of symbols as a special character)

Q18: How can I delete an ISYS index?

A: Open ISYS Utilities and select 'Tools' - 'Delete an Index' from the menu. You will be prompted with the 'select an ISYS Index' dialog window. Select the index you wish to delete and click on the OK button.

Q19: We have over 50 different entries in our Catalog. The Catalog is displaying the indexes as Large Icons. Is it possible to display the Catalog as a list?

A: You can change the view by going into ISYS Utilities or ISYS Query

1. Click on the "Select Index" icon on the tool bar, then click on the "Catalog" tab.

2. Right-click in the Catalog box and click "change view", then choose "list only".

3. This will change the view for both Utilities and Query.
